WhatsApp Business API vs the WhatsApp Business app

WhatsApp is where many customers prefer to talk. The free Business app is a great start, but at some point it stops keeping up. Here is how the app and the API compare, and when to switch.

Both options come from Meta and both give your business a verified-looking profile. The difference is scale: the app is built for a person replying from a phone, while the API is built for teams, automation and connecting WhatsApp to your other systems.

The WhatsApp Business app

The free app works much like regular WhatsApp, with business extras:

  • A business profile with address, hours and website.
  • A product catalog, quick replies, labels and greeting or away messages.
  • Use on your phone plus a small number of linked devices.

It is ideal for a small business where one or two people answer messages.

The WhatsApp Business API

The API (officially the WhatsApp Business Platform) has no app of its own. It connects to a platform or software that you use, which unlocks:

  • Many team members answering from one number, with shared inboxes.
  • Chatbots that answer common questions and book appointments around the clock.
  • Connections to your CRM, booking system or online store.
  • Approved message templates for reminders, order updates and, where allowed, marketing.

⚠️
Good to know: Meta currently does not deliver marketing template messages to US (+1) phone numbers. Reminders, order updates and conversations started by the customer still work. Check Meta’s current rules before planning a campaign.

Signs it is time to switch

  • Messages are going unanswered because one phone cannot keep up.
  • Several people need to reply from the same number.
  • You answer the same ten questions every day.
  • You want automatic reminders or order updates on WhatsApp.

How switching works

  1. Verify your business with Meta.
  2. Choose a number for the API. A number used in the app needs to be moved over, which removes it from the app.
  3. Connect the number through an official provider or platform.
  4. Get your message templates approved, then set up your chatbot and workflows.

Done right, customers simply notice faster, more helpful replies, and your team spends its time on the conversations that need a person.

Common mistakes to avoid

  • Messaging people who did not opt in. Only message customers who agreed to hear from you on WhatsApp. It is required by WhatsApp’s policies and protects your number’s quality rating.
  • Sending too many promotions. Customers block or report businesses that spam them, which can limit your account. Keep marketing messages useful and occasional.
  • Letting the chatbot trap people. Always give customers an easy way to reach a real person.
  • Forgetting the 24-hour window. Outside 24 hours from the customer’s last message, you can only send approved templates. Plan reminders and follow-ups around that.
  • Using a personal number for the business. Keep a separate business number so your account stays professional and easy to hand over to a team.

Frequently asked questions

Is the WhatsApp Business API free?

The API itself has no subscription from Meta, but Meta charges for template messages, and most businesses use a provider or platform that charges its own fee. Replies within 24 hours of a customer message are free.

Can I keep using the WhatsApp Business app after moving to the API?

Not on the same number in the usual setup. When a number moves to the API, it is removed from the app. Some providers support using both together, so ask before you switch.

Do I need a website to use the API?

Meta asks for business details during verification, and a website helps. You also need a phone number that can receive a verification code.

Can a chatbot book appointments?

Yes. A WhatsApp chatbot can answer common questions, collect details and connect to your booking system to confirm appointments automatically.
