How we handle your information

Open a section to read it. If you would rather have the whole thing at once, email us and we will send a plain copy.

1 General privacy

How we collect, use and protect your information across our website and agency services.

Welcome to OKS Technologies ("OKS," "we," "us," or "our"). This policy explains how we collect, use, share, store and protect personal information when you visit okstechnologies.com, contact us, use our agency services, or use Oks.1, our social media, SEO and website automation platform.

Section 2 covers Oks.1 in detail. Section 3 covers our SMS terms. If anything here is unclear, email us at info@okstechnologies.com.

Information you give us: your name, email, phone number, company details and project information when you fill out a form, request a quote, sign a proposal, buy a package or contact support.

Payment information: payments are processed by our payment provider (Stripe). We receive confirmation of payment and limited card details such as the card brand and last four digits. We never see or store your full card number.

Usage data: through cookies and analytics tools we collect IP address, device and browser type, pages visited, referring page and session duration, so we understand how the site is used.

Client materials: content, files, logins or access you provide so we can deliver a project, such as brand assets, website access or copy.

We use personal information to:

  • Respond to enquiries, prepare quotes and deliver the services you ask for
  • Provide, secure, support and improve Oks.1 and our website
  • Process payments, send receipts and manage your account
  • Send service messages, such as approvals, reminders and package expiry notices
  • Send marketing about our services, only where you have agreed and with an easy way to opt out
  • Meet legal, tax, accounting and regulatory obligations and protect our rights

We use essential cookies to run the site and the Oks.1 dashboard (for example, to keep you signed in), and analytics cookies to understand visits. You can block or delete cookies in your browser settings. Blocking essential cookies may stop the dashboard from working properly.

We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising. We share it only:

  • With service providers who help us run the business, such as hosting, database, payments, email delivery, analytics and AI providers, under contracts that limit their use of the data
  • With the platforms you ask us to connect to, such as Facebook, Instagram, LinkedIn, Google or your website, to carry out actions you approve
  • When required by law, court order or to protect the rights, safety or property of OKS, our clients or others
  • As part of a merger, acquisition or sale of assets, with notice to you where required

We are based in the United States. Our team members and service providers may process information in the United States and other countries. Wherever it is processed, we protect it as described in this policy.

We use industry-standard safeguards, including encryption in transit (HTTPS) and at rest for sensitive data such as access tokens and website credentials, role-based access controls, and separation of each client's data. No system is completely secure, but if we become aware of a breach that affects your personal information we will notify you without undue delay and as required by law.

We keep personal information only as long as needed for the purpose it was collected, or as required for legal, tax and accounting reasons. Billing records are kept for up to seven years. Oks.1 retention is covered in section 2.

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, and to opt out of marketing. Residents of certain US states, such as California, may have additional rights, and we will not discriminate against you for using them.

To make a request, email info@okstechnologies.com. We may need to verify your identity. We respond within 30 days.

Our site and Oks.1 link to or connect with third-party services, such as payment pages and social media platforms. Their own privacy policies apply to how they handle your information, and we recommend reading them.

Our website and services are for businesses and are not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.

2 Oks.1 platform

How Oks.1 handles your content, connected accounts, website access and chatbot conversations.

When you use Oks.1 we collect:

  • Account details: your name, email, business name, package and billing history
  • Content you upload: photos, videos, briefs, brand colors and notes, plus the captions, hashtags, keywords and articles Oks.1 creates for you
  • Connected account data: when you connect Facebook, Instagram, LinkedIn, Google or other platforms, we receive access tokens and the information those platforms share with your permission, such as page names, account IDs, post results and analytics
  • Website connection details: your website address, platform and the API credentials or application password you provide, stored encrypted
  • Chatbot and WhatsApp data: messages your customers send to your chatbots, and any contact details they choose to share, such as a name, email or phone number
  • Usage and diagnostic data: actions taken in the dashboard, error logs and activity records

We use this data only to provide Oks.1 to you: to draft content, publish what you approve, add SEO improvements, monitor your website, run your chatbots, prepare reports and support your account. We do not use data from your connected accounts for advertising, and we do not sell it.

Nothing is posted or changed on your accounts or website without the approval settings you choose.

Oks.1 uses artificial intelligence services, such as Google Gemini, to write captions, hashtags, keywords, blog articles and chatbot replies. To do this, the relevant content, such as your brief, uploaded media and chatbot questions, is sent to the AI provider for processing.

We use AI providers under business terms that do not allow them to use your content to train their models, and we do not use your content to train AI models ourselves. AI-generated content can contain mistakes, which is why every draft is sent to you for review before it is published.

You connect social accounts by signing in on each platform's own login page. We never ask for or store your social media passwords. We request only the permissions needed for the features you use, such as publishing posts and reading post results.

You can disconnect an account at any time from the Oks.1 dashboard or from the platform's own settings. When you disconnect, we stop using the access and delete the related access tokens within 30 days.

If you connect Google services, such as Google Analytics, Search Console or Business Profile, Oks.1's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We use Google user data only to show your reports and rankings and to provide features you request. We do not use it for advertising, we do not sell it, and our staff do not read it unless you ask us to for support, it is needed for security, or the law requires it.

Oks.1 connects to Facebook, Instagram and WhatsApp through Meta's official APIs. To delete the data Oks.1 has received from Meta:

  • Disconnect the account in Oks.1 under Social accounts, or remove Oks.1 from your Facebook settings under Apps and Websites, and
  • Email info@okstechnologies.com with the subject "Data deletion request" and the account you want removed

We confirm the request and complete the deletion within 30 days, except where we must keep limited records by law.

When you add an Oks.1 chatbot to your website or WhatsApp, we process your customers' messages on your behalf so the chatbot can reply and hand conversations to your team. For this data, your business decides how it is used, and OKS acts as your service provider.

You are responsible for telling your customers about the chatbot in your own privacy policy and, for WhatsApp messages, for collecting and keeping their opt-in consent. Oks.1 honors opt-out requests such as STOP and follows WhatsApp's messaging policies.

Oks.1 accesses your website only through the connection you set up and only for the tasks you enable, such as adding SEO keywords or publishing blog articles. A backup is saved before each change so it can be undone. Code, server and plugin fixes are carried out by the OKS team, not the bot.

We keep your Oks.1 data while your account is active. If your package ends and is not renewed, we keep your content and settings for 90 days so you can pick up where you left off, then delete them. Chatbot conversation logs are kept for up to 12 months. You can ask us to delete your data sooner by emailing info@okstechnologies.com.

Oks.1 relies on trusted providers, including:

  • Cloud hosting and database providers, to run the platform and store data
  • Stripe, to process payments
  • AI providers such as Google, to generate content and chatbot replies
  • Meta, LinkedIn, Google and other platforms you choose to connect
  • Email delivery providers, to send reports and notifications

A current list is available on request.

3 SMS & text messaging terms

These terms apply only if you opt in to receive text messages from us.

We will not share your opt-in to an SMS short code campaign with a third party for purposes unrelated to supporting you in connection with that campaign. We may share your personal data with third parties that help us provide the messaging service, including platform providers, phone companies, and other vendors who assist in the delivery of text messages.

We may disclose personal data to our affiliates or subsidiaries; if we do, their use and disclosure of your data remains subject to this policy. Text messaging originator opt-in data and consent are excluded from all sharing and are never shared with any third party.

We use SMS messaging to share updates, promotional offers, reminders, and important notifications. Messages may include project updates, special offers, or general information. Every message includes an opt-out option such as "Reply STOP to unsubscribe."

By providing your phone number and opting into our SMS notifications, you confirm you are the owner or authorized user of that number. You consent to receive recurring automated text messages (SMS, MMS) about your project, service updates, offers, and other notifications. Consent is not required to make a purchase from us. Message frequency varies, but you can generally expect 1 to 5 messages per week.

Your consent to receive automated texts is entirely voluntary. To stop receiving messages, reply "STOP," "END," "CANCEL," "UNSUBSCRIBE," or "QUIT" to any SMS from us, or email info@okstechnologies.com. After opting out, you will receive one final confirmation message, and no further messages will be sent unless you re-enroll.

If you are having trouble with our SMS notifications, reply "HELP" to any message, or email us directly at info@okstechnologies.com.

Standard message and data rates may apply to messages sent to and from us. Please check with your mobile carrier for details about your text plan or data rates.

We comply with all relevant laws and regulations, including the Telephone Consumer Protection Act (TCPA) and CTIA guidelines. Our practices ensure you can easily manage your preferences, with clear instructions for opting in or out of SMS notifications.

You agree to indemnify, defend, and hold us harmless from any privacy, tort, or other claims, including claims under the TCPA or equivalent state laws, arising from your voluntary provision of a telephone number that is not owned by you, or your failure to notify us of a change to your mobile number.

To take part in our SMS notifications, you must be 18 years of age or older, own a wireless device capable of two-way messaging, and be a subscriber to a wireless service with text messaging capability. Not all mobile carriers support this service.

By using our SMS notifications service, you agree to resolve any disputes with us on an individual basis and not as part of a class or representative action. You waive your right to a jury trial and agree that claims will be resolved through final and binding arbitration. If you do not agree to these terms, please do not participate in the service.

You warrant that you have the necessary rights, power, and authority to agree to these terms, and that participating does not violate any other contract or obligation you hold. If any provision of this policy is found unenforceable, the remaining provisions stay in full force. We may modify these terms at any time; continued participation after an update constitutes acceptance of the change.
